EXECUTIVE ASSISTANT (ENERGY MARKETS)

POSITION PURPOSE

This position provides comprehensive and confidential administrative and secretarial support at a Senior Vice President level. The Executive Assistant coordinates administrative activities, special projects, and procedural guidance, ensuring efficiency across the Energy Markets and Dakota Coal Company division.

ESSENTIAL DUTIES

  • Provide confidential administrative support, screening calls, correspondence, and maintaining filing systems.
  • Compose, type, and distribute complex documents including reports, presentations, correspondence, and meeting minutes.
  • Schedule meetings, manage calendars, and coordinate travel arrangements.
  • Handle special projects and perform independent research as requested.
  • Ensure accuracy and discretion when handling confidential and sensitive information.
  • Establish and maintain effective working relationships internally and externally.

MINIMUM QUALIFICATIONS

  • Associate’s degree in administrative assistance or a related field; and 5 years of related administrative assistance experience; or
  • High school diploma or equivalent (GED or HSED); and 7 years of related administrative assistance experience

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in business administration or related field.
  • Experience supporting C-suite executives, boards, or legal/governmental functions.
  • Strong understanding of corporate governance processes.
  • Project management experience or formal training.
  • Experience with Microsoft Teams, SharePoint, and workflow tools (e.g., DocuSign, Adobe Acrobat Pro).

PHYSICAL AND ENVIRONMENTAL DEMANDS

This position requires the ability to remain in a stationary position and to move about the office building, occasionally reaching below and above shoulder level, constant use of keyboard/computer and other office productivity machinery, bending, kneeling, lifting/carrying up to 10 pounds, and pushing/pulling up to 20 pounds. It also requires finger dexterity and hand coordination.

  • Expert knowledge of administrative support functions.
  • Excellent interpersonal, organizational, and communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to delegate effectively and handle multiple tasks under pressure.
